Privacy Policy
What information XENON Cloud actually collects when you use our Minecraft and VPS hosting services, why we collect it, and how it's handled.
We only describe information we actually collect. This policy is written specifically for how XENON Cloud operates today, including that support and orders are handled through Discord rather than email. It is a practical description of our data practices, not formal legal advice.
01Introduction
This Privacy Policy explains how XENON Cloud handles information in connection with our Minecraft hosting and VPS hosting services. It applies to our website, our Discord server, and any control panel we provide for managing your service.
02Information We Collect
Because we operate primarily through Discord, most of the information we hold about you comes from your Discord account and your interactions with our ticket system, plus technical information related to running your hosted service. We group this below by how it is collected.
| Category | Examples | Source |
|---|---|---|
| Discord identity | Discord username and user ID | Automatic, when you contact support |
| Support content | Messages, screenshots, and details you share in a ticket | Voluntary |
| Payment-related info | Transaction reference details needed to verify payment | Voluntary |
| Technical data | IP address, connection logs where applicable | Automatic |
| Service data | Server name, plan, resource usage, panel account details | Automatic / account setup |
03Information Collected Automatically
Some information may be collected automatically as part of running our infrastructure and keeping it secure, including:
- Your IP address and basic connection/technical information when you connect to a hosted server, panel, or our website;
- Your Discord username and user ID when you interact with our server or ticket system, as provided by Discord;
- Security and operational logs (such as login attempts, resource usage, and error logs) used for abuse prevention, troubleshooting, and keeping the service stable.
We do not use this information for advertising or sell it to third parties.
04Information Provided Voluntarily
You may choose to give us additional information, such as:
- Details you share in a Discord support ticket, including screenshots, server logs, or descriptions of an issue;
- Payment-related information you share to help us verify a transaction made through a supported payment method (UPI, PAK, or BDT);
- Any content, plugins, mods, or configuration files you upload to your hosted Minecraft server or VPS.
We only use voluntarily provided information for the purpose you gave it to us, such as resolving a support ticket or verifying a payment.
05How We Use Information
We use the information described above to:
- Provide, operate, and maintain your Minecraft or VPS hosting service;
- Respond to support requests submitted through Discord tickets;
- Verify payments and process refund requests under our Refund Policy;
- Detect, investigate, and prevent abuse, fraud, and violations of our Acceptable Use Policy;
- Maintain the security and stability of our infrastructure; and
- Communicate important service updates, such as maintenance notices or policy changes.
06Who We May Share Information With
We do not sell your information. We may share limited information in these situations:
- Infrastructure providers: data-center, network, or node providers that host the physical or virtual hardware underlying our services, to the extent necessary to deliver the service;
- Legal requirements: where required to comply with a valid legal request, protect our rights, or protect the safety of our users or the public;
- Service platforms: Discord, as the platform through which support and orders are handled, and any control panel software used to manage your service.
We do not share support ticket content or payment-related details with third parties except as necessary to operate the service or as described above.
07Data Security
We take reasonable technical and organizational measures to protect information related to your account and service, such as restricting internal access to support tickets and payment-related information to those who need it to assist you. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
08Data Retention
We retain information for as long as reasonably necessary to provide our services, resolve disputes, comply with legal obligations, and enforce our agreements. Support ticket history on Discord is retained according to Discord's own retention practices and our server settings. Server-related data (such as world files) is generally deleted after a service is terminated and any applicable grace period has passed.
09Cookies & Local Storage
Our website and control panel may use essential cookies or local browser storage to keep you logged in and to remember basic preferences, such as a light/dark theme choice. We do not currently use cookies for advertising or cross-site tracking. If this changes, this section will be updated.
10Third-Party Services
We rely on certain third-party platforms to operate our business, including Discord for support and community, and infrastructure or network providers for hosting hardware. These providers have their own privacy practices, and we encourage you to review Discord's privacy policy for information about how Discord handles your data.
11Your Rights & Choices
Depending on your location, you may have rights regarding your personal information, such as requesting access to, correction of, or deletion of information we hold about you. To exercise these rights, open a Discord ticket describing your request. We will respond within a reasonable time and may need to verify your identity as the account or service owner before making changes.
12Children's Privacy
Our services are not directed at young children, and account holders should meet the eligibility requirements in our Terms of Service. If you believe a child has provided us with personal information without appropriate consent, please contact us through a Discord ticket so we can review and, if appropriate, remove it.
13Changes to This Policy
We may update this Privacy Policy as our services or practices change. We will update the "Last updated" date above when we do, and, for significant changes, try to announce them on our Discord server.
